Minimum Education
Completion of secondary school
Experience
1-2 years of experience in Office Administration is required.
Specific Skills
· Oversee the scheduling of print and signage projects to ensure timely delivery.
· Act as a bridge between sales, design, and production teams to ensure client requirements are clearly communicated and met.
· Monitor the progress of print and signage orders, ensuring that designs are approved, proofs are reviewed, and production proceeds smoothly.
· Review proofs with clients for accuracy before sending them to production, ensuring customer satisfaction with final designs.
· Take detailed orders from clients, ensuring all project specifications (e.g., dimensions, materials, colors) are accurately captured.
· Handle complaints, concerns, and post-production issues, ensuring quick resolutions and maintaining positive client relationships.
· Oversee the inventory of printing supplies (paper, ink, etc.) and signage materials (vinyl, acrylic, metal, etc.), ensuring sufficient stock levels for both printing and sign production
· Keep track of stock levels and reorder materials as necessary to avoid production delays.
· Build and maintain relationships with vendors to ensure timely delivery of materials and manage pricing agreements.
· Generate invoices for completed projects, ensuring all services (design, printing, signage installation) are accurately billed.
· Ensure that all print and sign products meet the company's quality standards, checking for defects in print quality, color accuracy, and material finish.
· Supervise office and production staff, providing guidance and support as needed.
· Coordinate staff shifts, ensuring production deadlines are met, especially during busy periods.
· Provide training to new employees on office procedures, safety protocols, and customer service standards.
· Oversee the maintenance and troubleshooting of printing and signage production equipment (e.g., large format printers, laminating machines, vinyl cutters).
· Keep organized records of client orders, invoices, and project details for future reference.
· Regularly follow up with clients for repeat business, ensuring satisfaction and gathering feedback for continuous improvement.
