Legal secretary (Immigration) – NOC 13111 Ann Arbour Consultants Inc. - 409 Brock Street South, Whitby, ON, L1N 4K5 Salary: $25 / hour 1 vacancy Terms of employment: Permanent employment, Full time 30 hours / week Start date: As soon as possible Employment conditions: Day, morning, some Early mornings and Evenings may be required to match the time zones of clients. Some weekends may be required as per business needs. Job requirements Languages: English Education: College or CEGEP or other non-university certificate or diploma from a program of 1 to 2 years related to secretarial, or administration related is required. Experience: 2 years to less than 3 years of related experience. Work Conditions and Physical Capabilities: Fast-paced environment, Work under pressure, Tight deadlines, Attention to detail. Ability to handle large workload. Job Duties and Responsibilities · Have knowledge of the main immigration programs of Canada. · Prepare and key in correspondence and legal documents, such as affidavits and briefs, from handwritten copy and machine dictation using computers. · Review and proofread documents and correspondence to ensure compliance with immigration legal procedures and guidelines and grammatical usage. · Schedule appointments, meetings and conferences for immigration Consultant. · Set up and maintain filing systems, frequently controlling confidential materials and documents. · Open and distribute regular and electronic incoming mail and other material and co-ordinate the flow of information internally and with other departments, clients or organizations. · Collect information of Immigration clients, write reports and submit to Immigration consultant for assessment of clients and/or for case preparations. · Collect personal and professional documents from clients. · Upload client confidential documents to CRM for file processing and submission by Immigration Consultant to IRCC. · Arrange travel, related itineraries and make reservations for the immigration consultant. · Prepare client account reports. · May supervise and train other staff in procedures and in the use of current software and CRM. · Prepare business proposals, register and complete company filing for business clients served by the company under relevant immigration program. · May attend meetings or conferences to take notes, minutes and dictation. · May perform other general office work as required.
